HKVShop ("we", "us", "our") operates the hkvanshop.com e-commerce platform ("the Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information we collect
- Account information: Your Hong Kong mobile phone number (used as your Login ID), first and last name, password (stored only as a salted, hashed value — we never see or store your plaintext password), email address for order confirmations, billing address, and shipping address.
- Order information: Order reference number, items, subtotal, shipping method, fulfillment status, payment method, tracking number, and notes you provide.
- Verification codes: One-time passwords (OTP) sent to your phone number via WhatsApp for security-sensitive flows (registration, password recovery, phone-number changes, profile edits, order lookups).
- Device and usage information: We use local browser storage only to remember your language preference. We do not use advertising or third-party tracking cookies.
2. How we use your information
- To register your account, sign you in, and verify your identity.
- To process your orders, dispatch shipments, and notify you of order-status changes.
- To send transactional emails such as payment confirmations, hold-expiry warnings, shipping-dispatch confirmations, and pickup-point reminders.
- To comply with our legal obligations and to combat fraud and account abuse.
3. Authentication & verification channels
We send one-time verification codes (OTP) to your phone number via WhatsApp for account registration, password recovery, phone-number changes, profile edits and order lookups. We do not use SMS for authentication. We never ask you to share a code with anyone, including HKVShop staff.
4. Phone numbers
Your mobile phone number is your primary account identifier (Login ID). We enforce uniqueness at the database level to prevent account duplication, and we use it strictly for identity, security, and order-related communications (such as SF Express dispatch notices). We never use your phone number for unsolicited marketing.
5. How we share your information
We share data with service providers strictly to fulfil your order:
- SF Express — recipient name, phone number, and shipping address to generate a waybill and deliver your parcel. SF Express handles its own pickup-point notifications and freight collection; SF's published Privacy Policy applies to any data SF collects from you directly.
- Payment provider (PayMe) — to confirm payment. We do not receive or store your full card or wallet credentials.
- Email delivery (Zoho Mail) — to send transactional emails to your registered address.
6. Account security
After three (3) failed password-recovery verification attempts, your account is locked and our support team is alerted. You may unlock by contacting support and re-verifying your identity.
7. Data retention
Order records are retained for the lifetime of your account. We action verified deletion requests within 30 days of confirming your identity, permanently removing your account profile, order details, and verification records from our active systems. To prevent fraud and comply with our legal obligations, we retain a minimum audit record of account-recovery events (such as the fact that an account existed, the phone number involved, and the recovery action taken) after deletion.
8. Your rights

9. Children
The Service is not directed to children under 13, and we do not knowingly collect information from children.
10. Changes to this policy
We may update this policy from time to time. Material changes will be announced on this page with a new "Last updated" date.
